Terms and Conditions 2026
Expanish
Expanish agrees to provide Spanish immersion courses with experienced and trained teachers, and provide a number of related services such as activities and special programs. Participation in any activities, excursions, cultural programs, or other additional services provided by Expanish is limited exclusively to students who are currently enrolled in an Expanish course, unless otherwise expressly authorized by Expanish. Expanish is not liable for any damage resulting from or compensation related to incorrect or withheld information received from the student at the point of booking.
Terms & Conditions
These terms & conditions apply from the moment the student has submitted and completed the Expanish booking form.
Visas
Expanish cannot be held responsible for decisions taken by embassies or immigration police regarding entry visas or visa extensions. Visa advice can only be given by the appropriate Embassy or Consulate.
Students must maintain a valid visa status and their course will be terminated without a valid tourist or student visa. A valid visa status includes having an appropriate and current tourist or student visa as required by local immigration laws. Failure to maintain a valid visa will result in the termination of the course. It is the responsibility of the applicant to ensure that the most updated regulations/processes are being followed.
Courses shall not extend beyond the maximum permitted stay under the student’s visa. In case a course duration exceeds the visa validity, no extension will be granted beyond the legal visa limit. This restriction applies to all course-related matters, including but not limited to class recuperations, rescheduled sessions, or vacation entitlements.
Expanish cannot be held responsible for any visa regulation changes which occur after the bookings have been confirmed in compliance with the then existing regulations.
A visa document courier fee is charged each time documents have to be sent by courier (see school price lists).
In order to issue course confirmation documents for student visas for Spain, Expanish requires the full payment of a course.
Insurance
Students are required to have adequate travel and medical insurance for the duration of their stay. Expanish offers an optional insurance policy that can be purchased. The insurance can only be bought for the time of the course, including up to one month before and one month after the course dates.
Emergency Contact
Students are required to provide emergency contact information prior to starting their program.
Health Declaration
At the time of booking, students must disclose any physical or mental condition, allergy or disability that may affect their ability to complete the program, that may require monitoring, treatment or emergency intervention during their stay, or that may require special arrangements in accommodation.
Expanish will not discriminate on the basis of any disclosed condition and will make reasonable arrangements where possible. Where a student's participation represents a risk to their own health and safety or that of others, or where reasonable arrangements cannot meet the student's needs, Expanish may terminate the enrolment. Refunds in such cases follow the standard cancellation terms.
Class Information
Classes are held Monday to Friday and are scheduled in the morning and/or afternoon depending on the school’s availability and cannot be confirmed until the course starts.
Expanish reserves the right to use classrooms in alternative premises of the same standard.
Long-term discounts are applicable when the weeks are booked and paid for together.
Spanish in the City: some activities outside of the classroom may incur extra costs. Examples include entry fees for cultural sites, transportation for excursions, and materials for specific workshops. Students are encouraged to budget approximately 10€ per week for this purpose.
Expanish reserves the right to modify the course structure and schedule when necessary. For students who are already attending the school, any schedule changes will be communicated in advance, no later than the Thursday of the previous week. These changes do not entitle students to a refund. However, if Expanish is unable to provide a course, the student will be entitled to a refund of the corresponding tuition fees.
Punctuality Policy: Students who arrive late to class will not be allowed to enter once the class has started.
Private Lessons
Private lessons require 72 hours' notice for cancellation, postponement or rescheduling. Lessons cancelled, postponed or changed with less notice are charged in full.
Private lessons are subject to teacher and classroom availability and may be scheduled outside regular class hours. Bookings made with less than 2 working days’ notice cannot be guaranteed.
Private lessons booked as part of a course package (Combined courses, exam preparation, or 10 or more lessons per week) follow the standard course cancellation terms rather than this section.
Evening Group Course
Schedule
Evening Courses start every Tuesday. Classes take place on Tuesdays and Thursdays from 7:00 PM to 9:00 PM, consisting of two 50-minute sessions with a 10-minute break. Each school may organize the break as it sees fit. Courses are organized in fixed 4-week blocks.
All course levels may start any Tuesday of the year, except that complete beginners (no prior knowledge of Spanish) may only start on the first or third week of each month. Students need to arrive at the school by 6:30 PM on the first day of their Evening course for the required Orientation session if they have already completed the level test online, or by 6:00 PM if they still need to take the level test.
Group Placement and Level Test
Students will be placed in groups that correspond to their level.
Completion of the level test is mandatory and must occur as soon as the booking is confirmed.
Booking Conditions
Bookings are only available in four (4) week blocks.
Single classes or partial bookings are not permitted.
Rescheduling Policy
Students may reschedule a maximum of two (2) classes per four (4) week block.
Students may cancel or reschedule individual classes only by notifying the Academic team in writing (by email) no later than twenty-four (24) hours before the scheduled class. Notice must be given on working days only. Cancellations or rescheduling requests submitted on Sundays or on public holidays will not be accepted, regardless of timing.
A rescheduled class shall not replicate the specific class missed. Instead, a replacement class day shall be added at the end of the contracted course. The student shall be placed in their current level group or in a group of the closest level.
Classes rescheduled without the required notice shall be deemed forfeited and cannot be rescheduled.
Classes missed without due notice shall be forfeited.
Public Holiday and Recuperation
Recuperation arrangements for public holidays will be communicated directly at the school.
Vacation Policy
Students enrolled in Evening Group Courses are entitled to one (1) vacation week for every five (5) weeks of study.
Vacation requests must be submitted in writing at least two (2) weeks in advance.
Changes to Enrollment
Expanish reserves the right to charge an administration fee of 50€ for the course, and 100€ for the accommodation each time the program is changed or postponed after Expanish has confirmed the initial enrollment. Any changes should be made in writing two weeks before the requested change or postponement. This also includes requests for changes while the student is at the school.
Any postponement within two weeks of the start date will be considered a cancellation of the original program.
In cases where the student wishes to change housing assignments within the same option, Expanish reserves the right to charge an administration fee of 100€ and perform the change according to availability.
Changes between different services (courses, accommodation, and other services), such as substituting one service for another, are not permitted and will be considered a cancellation.
Course Cancellations
For any cancellation received on or after the course start date, there is no refund.
For cancellations received less than 14 days in advance of the program start, the student will be charged a cancellation fee equivalent to one week of the course, based on their applicable weekly price.
For cancellations received 14 days or more in advance of the program start date, the student may choose between a refund and a voucher, as stipulated in the Standard Refund Policy. If a voucher is chosen, it will be valid for use at any Expanish destination within 1 year.
Standard Refund Policy
The Standard Refund Policy does not apply for students who require a student visa (see Refunds Without Official Visa Denial and Refunds With Official Visa Denial)
Refunds will be returned via the original payment method.
Any refunds due will be processed within 30 days of approval and will be paid to the original payer.
In the event that a refund is due, prorated refunds will be calculated on a weekly basis.
In the case a student is entitled to a refund, the student can choose between:
a refund for the amount paid, excluding non-refundable charges (course deposit in the case of installment payments, courier fees, insurance, applicable cancellation fees). A 5% bank fee will be charged in the case the original payment was not made by bank transfer directly to Expanish’s bank account. Bank charges remain the responsibility of the payer.
a voucher for the amount paid, excluding non-refundable charges (courier fees, insurance, applicable cancellation fees). This voucher is valid for use at any Expanish destination within 1 year, cannot be exchanged for cash in part or full, is valid for a single transaction only, and is non-refundable after it has been redeemed.
Course Cancellations With Student Visa
To cancel or end studies at the school, the student must submit a signed written statement to admissions@expanish.live confirming their intention to cancel the program, provide a copy of their passport, and submit the official student visa denial document (if applicable).
The courier fee (if applicable) and the health insurance amount is always non-refundable.
Refunds Without Official Visa Denial
If the student cancels the program without providing an official visa denial document, they must sign a document confirming both the cancellation of the visa letter and that they have not yet applied for the visa (or rescind their visa application if applicable), and regarding refunds:
If the cancellation is made at least 15 days before the program start date, the school will refund 25% of the total amount paid. Refunds will be returned via the original payment method.
If the cancellation is made less than 15 days before the program start date or after the program start date, no refund will be issued, and the program cannot be changed or transferred to another person.
For accommodation cancellations, please refer to the relevant accommodation cancellation terms.
Refunds With Official Visa Denial
If the student provides an official student visa denial document issued by the corresponding consulate or embassy, Expanish will issue a full refund of all tuition fees paid, minus a €300 cancellation fee. A 5% bank fee will be charged in the case the original payment was not made by bank transfer directly to Expanish’s bank account. Refunds will be returned via the original payment method.
The official denial document must be submitted within fifteen (15) days of its issuance and in any case before the program start date.
No percentage-based cancellation penalties will apply in cases where an official visa denial document is provided.
For accommodation cancellations, please refer to the relevant accommodation cancellation terms.
Visa Delay – Inability to Start on Agreed Start Date
If a student is unable to begin the program on the previously agreed start date due to a visa delay (and no official visa denial has been issued), the student must notify Expanish in writing at least two (2) weeks prior to the original course start date.
If written notice is provided at least two (2) weeks in advance, the student may request to freeze their start date until the visa is approved, subject to availability and visa validity. Postponements may be granted for up to three (3) months from the original start date.
In all cases of postponed start dates due to visa delays, Expanish may only provide classes and program services during the period explicitly authorized by the student’s official visa. Any portion of the program that cannot be delivered due to visa validity limitations will not be rescheduled, extended, or refunded.
If the student fails to provide written notice at least two (2) weeks prior to the original start date, the absence will be considered a late cancellation or no-show, and the program will be subject to the refund policy corresponding to Refunds Without Official Visa Denial.
If the visa is ultimately denied, the student may request a refund in accordance with the Refunds with Official Visa Denial section, provided that the official denial documentation is submitted.
Accommodation Information
For registration received less than 2 weeks prior to start date, Expanish cannot guarantee requested accommodation options. If the preferred accommodation is unavailable, Expanish will make alternative arrangements of a similar standard. Students with complaints or issues related to accommodation should contact Expanish immediately for resolution. If the student leaves without previous contact with Expanish, no refund will be given.
Expanish reserves the right to charge a housing deposit upon check-in and students will be informed accordingly.
The standard check-in day is the Sunday before the course start date and the standard check-out day is the Saturday after the course end date.
Student housing is only available to students taking a program of at least 20 lessons per week. This includes program extensions.
All students housed in external accommodation providers should adhere to all rules and policies set by the provider, which may include deposits, security precautions, use of facilities, guest policies, etc.
Students are responsible for any damage to the housing property or damage or loss of personal belongings of hosts/owners that occur as a direct result of the student’s actions. If damage occurs, the student must replace or repair the affected item(s) or reach a monetary agreement with the host/owner.
Extra nights may be available upon request, for an additional charge and subject to availability.
Students in housing will be provided keys, and in case of loss or theft they are responsible for replacing them and covering other related costs.
Where possible special dietary requirements will be accommodated. Availability and any applicable fees will be confirmed upon request.
Students under 18 by the start of their program can only book a Homestay accommodation option (Exception: minor students aged 16-17 enrolled in the Young Adults Program may also book the student residence, subject to availability).
Homestay Cancellations
For cancellations received 30 days or more in advance of the program start date, there are no housing cancellation fees applied.
For cancellations received less than 30 days in advance of the program start date, the student will be charged a cancellation fee equivalent to one week of housing, based on their applicable weekly price.
For any cancellation received on or after check-in date, there is no refund.
If a program has started and a student has reserved 8 weeks or more of a Homestay or Shared Apartment with Host, they may notify Expanish in writing 4 weeks prior to the date of termination to receive a refund of the remaining weeks, otherwise a 4-week cancellation fee will apply.
Student Shared Apartment Cancellations
For cancellations received 30 days or more in advance of the program start date, there are no housing cancellation fees applied.
For cancellations received 16 days or more in advance of the program start date, the student will be charged a cancellation fee equivalent to one week of housing, based on their applicable weekly price.
For cancellations received 15 days or less to the start date, there are no refunds for Student Shared Apartments.
A deposit of 200€ might be required upon check-in. Deposit can be made in cash or with a credit card authorization form.
Student Residence Cancellations
For cancellations received 34 days or less in advance of the program start date, there are no refunds.
For cancellations received 35 days or more in advance of the program start date, there are no housing cancellation fees applied, with the exception of Yugo Nuevo Norte Madrid and Cristobal de Moura Barcelona: The penalty for changes and cancellations after a confirmed booking is 100% of the reservation cost, regardless of the entry date. No refunds are available under any circumstances for this accommodation option.
Studio Apartment Cancellations
Full refund if canceled 30 days or more before start date.
Cancellation fee of 1 week of housing if canceled 16 or more days before start.
No refund if canceled 15 days or less before start.
Other types of accommodation Cancellations
Expanish works with independent hostels, hotels and private apartment companies, each with their own cancellation policies. Expanish will inform the student of booking terms when confirming the booking.
Insurance Cancellations
For cancellations before a policy is emitted, there is no cancellation fee applied.
There is no refund on insurance once a policy has been emitted.
Insurance policies are emitted 2 weeks before the start date by default. They may be emitted earlier upon request if they are needed for a visa application or other reasons.
Payments
Final payments for study program only must be received in full 14 days prior to program start date.
For programs that include housing (homestay, student residence, studio, or shared apartment), final payment must be received in full 30 days prior to program start date.
The payer is responsible for all bank and transaction fees.
If payments are made in a currency other than EUR or USD, the payer is solely responsible for:
any losses, gains, or additional costs resulting from currency exchange rate
fluctuations. Expanish is not liable for unfavorable exchange rate movements.
Installments Payment Conditions
Students may pay the total amount due in installments under the following conditions:
Minimum Booking Amount: Installment payments are available only for bookings with a total value of €700 or more.
Deposit: A €200 deposit is required at the time of booking to confirm the reservation and secure the course place. The deposit is non-refundable under all circumstances, regardless of the reason for or timing of the cancellation.
Interest-Free: The installment payment plan is offered free of interest and carries no additional financing charges.
Payment Deadline: The full balance must be paid no later than 14 days before the course start date, or 30 days before if accommodation has been booked.
Payment Compliance: It is the student's responsibility to ensure all payments are made on time. Failure to meet the agreed payment deadlines may result in cancellation of the booking, with no entitlement to a refund. The school's standard cancellation policies will apply. Students are also responsible for any bank fees related to their payments.
Visa Applicants: Students requiring a visa letter are eligible for installment payments. However, the full course and accommodation fees must be paid in full before the visa invitation letter can be issued.
Installment Schedule: Installments will be calculated based on the remaining balance after the €200 deposit. Once agreed, the installment amounts and due dates must be strictly followed.
Late Payment:
A payment reminder will be sent 5 days prior the due date and another one will be sent if an installment is missed.
A 5-calendar-day grace period will be granted.
If payment is not received within this period and no communication or response is received from the student, the school reserves the right to cancel the booking and retain all payments made. Additional cancellation fees may apply according to the booking terms.
Additional Notes: While reminders are sent before each due date, students are fully responsible for ensuring payments are made on time. Once accommodation is confirmed, any changes or cancellations may incur penalties based on the accommodation provider's terms.
Public Holidays
Expanish will close for public holidays and class time will not be made up fully so students should account for holidays when booking their program.
Individual lessons during holidays will be rescheduled.
For weeks with one holiday:
Intensive 20-lesson group courses make up 2 lessons of missed classes.
The Intensive Explore 24-lesson course makes up 2 lessons of missed classes. If a public holiday falls on a Tuesday or Thursday, when a Spanish in the City session is scheduled, that session will be made up on another day of the same week, either through another Spanish in the City session or a conversation lesson, depending on the school’s circumstances.
Intensive 30-lesson group courses make up 4 lessons of missed classes.
Evening Group Course recuperation arrangements for public holidays will be communicated directly at the school.
For weeks with two holidays:
Intensive 20-lesson group courses make up 6 lessons of missed classes.
For weeks with two holidays, the Intensive Explore 24-lesson course makes up 6 lessons of missed classes. If one of the holidays falls on a Tuesday or Thursday, the same policy as for weeks with one holiday applies. If both holidays fall on Tuesdays and Thursdays, only one of the two affected sessions will be made up either through another Spanish in the City session or a conversation lesson, depending on the school’s circumstances, and the other session will be lost.
The Intensive Plus 30-lesson group course will receive 2 additional private lessons as compensation.
Evening Group Course recuperation arrangements for public holidays will be communicated directly at the school.
Course Breaks and Destination Change
Students may request a 1-week break for every 5 weeks of course. Students may also change schools at no cost (excluding housing or site-specific services).
Two weeks of notice is required for any break or change of destination.
If a student with housing requests a course break, and will not be using their housing during the break, unused housing will not be credited or held "in their favour" for when they return. The student will need to rebook housing and check availability unless the break is requested with a minimum of 35 days' notice. In such cases, new housing can be arranged, but it may differ from the original booking.
Level of Spanish
If a student does not have the minimum level of Spanish required to follow a specific course, as determined by the Expanish placement test, Expanish reserves the right to move the student to a course that is appropriate for their level.
Morning Schedule Guaranteed
Students enrolling in Intensive Group Courses at Expanish schools in Barcelona, Madrid, and Buenos Aires may opt for the Morning Schedule Guarantee Supplement (see pricelist)
The online level test is mandatory in order for Expanish to guarantee the morning schedule, and in the case that the student does not meet this requirement and subsequently the morning schedule cannot be provided, there is no refund.
If a morning class schedule has been confirmed at the time of booking and the student completed the level test prior to arrival but Expanish is subsequently unable to provide the confirmed morning schedule, the student will be notified at least one week prior to the course start date. In such cases, the student may choose between:
A full refund of the course fees, except for courses requiring a Student Visa, which are subject to the applicable visa and cancellation conditions; or
An alternative course schedule or arrangement offered by Expanish and agreed upon with the student. Expanish will make reasonable efforts to provide the alternative arrangement in accordance with the student's original booking, subject to availability.
Materials
Students are required to pay a materials fee upon completing their initial booking. Please refer to the current Price List for the applicable amount.
If this amount was not charged before arrival, it must be paid on site upon arrival.
An additional materials fee is required and paid on site each time a student starts a new level and receives a new textbook.
Class adjustments
Expanish requires a minimum of 3 students to form a group. On the rare occasion a class does not have the minimum, the number of lessons will be reduced by 50% or the student will be offered to join a group of students from another level. The decision will be made by the school based on academic criteria.
If a group at Expanish Barcelona 30+ cannot be formed, the student will enter an open group at our Barcelona under 30 class.
For our 50+ program, Expanish requires a minimum of 2 students to form a group. If a 50+ group cannot be formed, the student will enter an open group of our standard Intensive course, with access to its standard activities.
Transfers
Flight details must be received 7 days prior to arrival in order for Expanish to provide an airport transfer. No refunds will be granted on transfers if flight details are not sent to Expanish at least 7 days prior to arrival.
Details include arrival airport, arrival time, flight number, airline, and point of origin.
Airport transfer fees include a maximum waiting time of one hour from the flight’s arrival. In the event of delay, students will be charged an additional fee upon arrival at the school.
Students under 18 by the start of their program are required to book in and out airport transfers, or otherwise provide written consent for the minor to travel alone.
Minors are required to complete a Parental Consent Form prior to arrival.
Minors Students
Minors are required to book arrival and departure or return transfers.
Students under 18 by the start of their program can only book a Homestay accommodation option (Exception: minor students aged 16-17 enrolled in the Young Adults Program may also book the student residence, subject to availability)
Minors are required to have adequate travel/medical insurance.
The completed Parental Consent Form must be submitted at least 15 days prior to the student’s arrival. If the form is not received within this timeframe, Expanish reserves the right to postpone or cancel the student’s participation in the program until the required documentation is provided.
The Parental Consent Form will be sent by the agent advisor or by the Expanish Admissions team along with the booking confirmation.
Expanish does not provide supervision or guardianship for students enrolled in adult courses, including students aged 16 and 17. Expanish is responsible for students during scheduled class hours and organised school activities only. Parents or legal guardians remain responsible for the student at all other times, including travel to and from the school and free time.
Force Majeure
Expanish will not be liable for any failure to comply with obligations (and therefore shall not be required to pay compensation) if the failure is accompanied by any cause beyond Expanish’s reasonable control; nor shall Expanish be responsible for any costs incurred by or on behalf of the student as a result of any such case. Such causes shall include but are not limited to fire, flood, war, riot, embargo, organized labor stoppage, unusually adverse weather conditions, acts of civil or military authorities, acts of terrorism, acts of god, pandemics etc.
Liability
Expanish, its staff and representatives will not be liable for loss, damage or injury to persons or property howsoever caused, except where liability is expressly imposed by law. Where Expanish is liable, its liability is limited to the amount paid by the student for the service concerned.
Accommodation, airport transfers, insurance and external activities are provided by independent third parties. Expanish acts as intermediary in arranging these services and is not liable for the acts, omissions or defaults of those providers. Claims relating to such services must be directed to the provider concerned.
Expanish is not liable for loss, theft or damage to students' personal property, nor in the event that any service contracted to be supplied becomes impossible to supply for any cause outside its control.
Code of Conduct & Expulsion
Students are expected to attend a minimum of 80% of classes each week. They should inform the school in case of absence.
Students should act in a respectful manner towards fellow students, teachers, staff and third party providers such as accommodation hosts and/or activity guides.
Expanish may expel students from the program and accommodation at its sole discretion if it deems students in breach of its code of conduct (supplied in the welcome pack on the first day of classes) or if a student endangers their own life or that of another. No refund will be given, any unpaid fees become immediately payable, and repatriation is at the student's own expense. Students expelled from the program are no longer eligible for Expanish accommodation. Where the student is under 18, parents or legal guardians will be notified immediately.
Students must pay the full cost of any damage to property and are expected to obey the laws and adapt to the customs of their host country and host family (if applicable).
Photography & Filming
Expanish may take promotional photographs and video footage of students. If students do not wish to participate, Expanish will respect their wishes if notified. For students under 18, promotional use of images requires explicit consent given in the Parental Consent Form.
Agents
These Terms and Conditions apply to all bookings, including those made through an agent on the student's behalf. Agents are responsible for notifying Expanish in the case of any discrepancy or error in the official booking confirmation documentation sent. In the absence of such notification, the services and conditions stated in the official booking confirmation documentation shall be considered accepted by the Agent as confirmed.
The Agent is responsible for communicating these Terms and Conditions, as well as the confirmed booking details, to the student and ensuring that the student is aware of the services that have been confirmed.
The commercial relationship between Expanish and the agent is governed by the Expanish Agency Agreement. Expanish cannot be held responsible if incorrect prices are quoted by a third party. Prices are confirmed upon invoicing.
